A procurement handoff checklist for drone mechanical parts

A mechanical-part inquiry often changes hands before a supplier can quote it. A buyer forwards a drawing, an engineer adds a comment, and a service team sends a photograph of an older assembly. If those items describe different revisions, a fast quotation can still be difficult to use. A short handoff record helps the next person understand exactly what is being requested.

Identify the requested configuration

Record the part name, drawing number and revision together. Distinguish the part to be purchased from the assembly shown for context. State whether the request concerns a replacement for an existing fleet, an evaluation sample or a new design. Do not treat a familiar product photograph as confirmation that two parts are interchangeable.

Keep dimensions and interfaces together

Attach the controlled drawing where one is available. Identify the mating tube, plate or mounting surface, hole pattern, fastening arrangement and clearance constraints that matter to the installation. If a measurement is provisional, label it as provisional. A supplier should be able to distinguish an engineering requirement from a dimension estimated from a photograph.

Separate requirements from preferences

Material grade, finish, inspection evidence and packaging may affect the quotation. Specify the requirements your project actually needs and identify acceptable alternatives that an engineer can review. Avoid requesting a certificate or a performance claim merely because it appeared in another supplier's listing. For a structural or flight-critical application, the responsible engineering team must determine the appropriate acceptance and qualification requirements.

Explain quantity and approval steps

Show the evaluation quantity and expected repeat-order quantity separately. State who will approve the sample and what evidence is needed before a repeat order is released. Ask the supplier to identify tooling, minimum order quantities, included fasteners and inspection costs as separate items where relevant. A quotation should make its exclusions visible.

Close the handoff with open questions

List unresolved details instead of silently filling them in. Examples include the approved finish, a mating-part revision, an inspection method or the owner of a compatibility check. Give each open question an owner and record the answer with the quotation. When a drawing changes, tell the supplier which earlier revision it replaces and request acknowledgement.

This checklist is a purchasing communication aid. It does not establish airworthiness, compatibility or load capacity. Keep the final technical decision with the project team responsible for the application, and use the same approved configuration when comparing samples and repeat production.
